Nonprofit grant readiness checklist

By Dave Espino · Updated October 27, 2026

Federal grants can be transformative for a nonprofit, but they reward organizations that prepare in advance. Use this checklist before a deadline is near.

Registrations

  • Active SAM.gov registration and Unique Entity ID (renewed annually).
  • Grants.gov account with the right roles assigned to your staff.
  • Know whether you have 501(c)(3) status — many opportunities distinguish 501(c)(3) nonprofits from other nonprofits.

Documents to have ready

  • Mission statement, program descriptions, and outcomes data.
  • Organizational budget and recent financial statements or audit.
  • Board list and key staff résumés.
  • Letters of support or partnership agreements, if your projects involve partners.

Capacity and compliance

  • Can your accounting system track grant funds separately and support reporting?
  • Can you meet a cost-share or match requirement if the opportunity requires one?
  • Do you have someone responsible for reporting deadlines after an award?

Choose opportunities realistically

Match your strongest programs to opportunities whose purpose clearly fits. A smaller, well-aligned application is usually stronger than a stretch. Browse nonprofit-eligible opportunities and use the deadline filter to plan.
